PixiProof AI: your dashboard business companion for photographers (with a free monthly allowance)

PixiProof AI: your dashboard business companion for photographers (with a free monthly allowance)
Features·June 5, 2026·9 min read

What is PixiProof AI?

PixiProof AI is a business companion built directly into your photographer dashboard. It is not a generic chatbot — it is an advisor that knows PixiProof and can look at your live account data: galleries, orders, selections, revenue, and exactly where a client is stuck. It answers workflow questions, coaches your pricing and upsell, and explains what is happening in your dashboard right now.

You will find it as “PixiProof AI” in the dashboard — a chat widget you can also expand to a full-page view. Every account gets a free monthly allowance of usage, and when you need more you can buy token packs. Below we cover what it can do, show real examples, and explain how the allowance works.

It works from your live account data, not guesses

The key difference from an ordinary chatbot: PixiProof AI uses real account KPIs — delivered orders, clients currently selecting, galleries ready to ship, revenue and pipeline — plus the folder counts in your sidebar. It also reads signals from each gallery's timeline (for example repeat change requests, or no selection activity for several days).

That makes answers specific and backed by evidence from your account — the assistant does not invent counts or "client psychology" beyond the real signals. If something is not in the data, it says so plainly instead of guessing.

What PixiProof AI can do for your studio

Business coaching and monetization

  • Gallery type choice — whether a session should be a selection (proofing) gallery or a finished delivery gallery.
  • Upsell strategy — package in your pricing, per-extra rate, and a finalize offer (e.g. +15 / +25 photos at a better bundle price).
  • Photographer suggestions — how to mark your strongest frames so clients see them before the offer.
  • Consistent gallery branding — setting design so the upsell banner inherits your theme and lifts conversion.

Client-behavior insight

  • detecting selections that have stalled (e.g. no activity for 3+ days),
  • a client who is picking photos but not approving,
  • a high hidden-photo rate or repeat change requests on the timeline.

Workflow and settings help

  • the create-gallery wizard, dashboard navigation, account settings,
  • order statuses (from selection through delivered),
  • saving storage to fit a GB limit, watermarks, client consents.

Optional web research

Turn on the “Search the web” chip and the assistant adds fresh context from the web (trends, benchmarks). It uses somewhat more tokens, and the search API cost is absorbed by the operator.

Real questions photographers ask it

QuestionWhat PixiProof AI does
“Why has this wedding gallery stalled?”Checks the live selection, spots no activity for several days, and proposes a concrete next step (e.g. a reminder).
“Proofing or a finished gallery for this session?”Applies a simple rule: client picks frames and pays for extras → proofing; you deliver a finished set → delivery gallery.
“How should I price a +25 upsell bundle?”Coaches you from your package and per-extra rate so the bundle beats buying singles one by one.
“Which galleries are ready to ship?”Reads pipeline KPIs and folders to point you to orders in that status.
“How do I fit this session into 1 GB?”Walks you through a storage-savings checklist — often with no token cost.

Your free monthly allowance — how it works

Every account has a monthly token grant that resets with your billing period. Tokens are only spent on AI-backed replies — fast FAQ and deterministic suggestions often cost no tokens at all.

  • Starter grant (pay-per-gallery, before your first Stripe payment): about 30,000 tokens per month (~2 typical coaching questions).
  • Full grant: about 300,000 tokens per month (~28 typical gallery-coaching questions) — unlocked after your first Stripe-paid transaction (a gallery, wallet top-up, or upgrade).

Grant usage costs fewer tokens than a purchased pack, and the grant has no per-turn minimum. All of this is included with using PixiProof — you will also see the AI Companion allowance on the "Included in every gallery" list.

When you need more: token packs

If you use up your monthly grant, you can buy token packs — in your Wallet (pay-per-gallery) or Billing (Studio), from your wallet balance or via Stripe. When the grant is exhausted, the assistant shows a purchase panel right inside the chat widget, so you do not lose your train of thought.

  • Grant and purchased tokens add together.
  • Purchased packs do not expire — they persist until used (balance in Wallet / Billing).
  • A large purchased balance will not show a "low tokens" banner just because the month reset.

You will see pack amounts in the Wallet UI — check the current options there, as they depend on your account and market.

What uses tokens (and what doesn't)

A token is a unit of model "thinking", not a charge for photos. As a rough guide, a typical coaching question is about 13,000 tokens from the grant (or about 26,000 from a purchased pack). The assistant runs in three modes:

  • full — enough balance, complete answers,
  • low — roughly ≤10 typical questions left; a good moment to consider a pack,
  • exhausted — not enough tokens for another question; the assistant skips the model and shows a purchase link.

Tokens are not gallery or storage fees

An important distinction: AI tokens ≠ gallery fees or hosting GB. Galleries are billed separately (wallet / Stripe), independently of the assistant. The monthly grant resets with your billing period, while purchased token packs persist until used — they are two entirely different line items on your account.

Privacy: it's your data, cited as evidence

PixiProof AI analyzes your account data so advice is specific rather than generic. It bases answers on the real KPIs and timeline signals you already see in the dashboard — and cites them as evidence instead of inventing numbers. That builds trust: you always know where each recommendation comes from.

How to get started

PixiProof AI is available in your photographer dashboard as soon as you create an account — with a free monthly allowance. You can try your first gallery up to 1 GB without a card, ask the assistant a few questions about your workflow, and watch it advise from your own data. Learn more on the PixiProof AI page, and see the pricing page for plan details.

Frequently asked questions

Is PixiProof AI free?

Every account gets a free monthly token allowance (grant). Many quick questions cost no tokens at all. When you need more, you buy packs.

Can the assistant see my galleries and clients?

Yes — it uses your live account data (KPIs, folders, selection signals) to give specific advice and cite evidence.

What happens when I run out of tokens?

The assistant switches to "exhausted" mode, skips the model, and shows a purchase panel in the chat. The grant resets with your billing period, and purchased packs work immediately.

“What I value most is not having to guess. I ask why a gallery is stuck, and the assistant shows me the client has been selecting for three days without approving — and what to do about it.” — Karolina, family photographer

Try it at your own pace

PixiProof is built from photographers’ real workflows. Your first gallery up to 1 GB is free — no card required so you can evaluate without pressure.
